The Module Sidebar controls the information which is accessed in the Main Content Screen or Spreadsheet View. Click on the Module
button or + in Windows, (located to the left of each module name) to open and to close the module's folder. To load all records in the Main Content Screen for any of the five module names click All Works, All Contacts, etc. in the Module Sidebar. Open the module folder to create or activate saved data sets (Worksheets and View Sets).
The second item in any open module is used to create Marked Record Sets. The Marked Records Selector gathers all records currently marked in the module (i.e. Marked Works, Marked Contacts, Marked Editions, Marked Transactions, and Marked References).
The Marked Records Selector works in conjunction with the Marking tool
on the Main Toolbar.
Listed below the Marked Records Selector are all saved data sets (either Worksheets or View Sets).
Artsystems Pro is a relational database divided into five distinct modules and each module is listed in the Module Sidebar: Works, Contacts, Editions, Transactions and References. A relational database is a collection of data items organized as a set of formally-described tables or modules from which data can be accessed or reassembled in many different ways without having to reorganize the database tables. Although the data is divided into these five distinct modules, all modules work together as a whole.
As such, when a field has blue text, this indicates a link to another module. Double-click the link or click once in the field and then click the ? button to open the linked record within another module.
IMPORTANT: Do not edit the default "UNKNOWN" contact record (record number: -1)in the Contacts Module.

NOTE: Before any record can be deleted, ALL LINKS on that record must be removed first.
Works - The Works Module manages the inventory, tracking artist, title, media, dimensions, values, expenses, notes, sales and transaction history, type and category classifications, provenance, etc.
Contacts - The Contacts Module manages the artwork locations, client, partner, and vendor information including names, addresses, telephone numbers, E-mail addresses, sales history, type and category classifications, notes, etc.
Editions - The Editions Module manages artwork distributed in multiples (Editions). The Edition record is the template used to create all inventory for that edition. Best practice is to creat the Edition record first, attach the image, and then create the inventory records that will be linked to it. Edition records are linked to all related inventory in the Works module. The Edition record displays an overview of all sets included of the edition, how many works are in the edition, how many are sold, available, or not for sale.
Transactions - The Transactions Module manages all artwork activity, including Invoices, Consignments, Loans, Offers, Shipments, etc. Use Transactions to keep detailed records of location history, sales history, loans, consignments, and payments received from sales plus payments made to consignors and co-owners.
References - The References Module manages all important publication and exhibition information about the artwork. It contains all references that have significant information about artwork, such as reviews or reproductions in print or on the Internet (i.e.: books, newspaper, magazine, Web site), inclusion in specific exhibitions, etc.
